The Organisation:

The Role:

The Office Administrator will report directly to the Head of Administration and Corporate Affairs Manager and will be part of the administration team responsible for the office and event management.

This role provides an ideal opportunity for someone who is highly organised with excellent IT and administrative skills, is comfortable and skilled in interacting with vulnerable people, and is able to autonomously prioritise daily tasks according to urgency.

Key Responsibilities

· Manage the production and distribution of the ID Cards taking special care to ensure GDPR compliance, as well as dealing with new and existing customer’s issue as they arise

· Manage the ordering of office supplies, merchandise and promotional materials, ensuring that procurement processes are adhered to and that there is no over-purchasing or duplication

· Doing regular stock control to ensure that there are adequate promotional materials and exhibition items to support the multiple events that are held sometimes simultaneously

· Assisting the Fundraising Manager with events and exhibitions, that might be local or international, this would involve amongst other things, setting up stands, erecting promotional banners, managing support staff

· Managing the AsIAm general phone line and redirecting queries to the appropriate team

· Handling of incoming and out-going mail

· Engaging with utility company and external cleaning services to ensure the smooth running of the office

· Ensuring that minor and major maintenance issues are addressed

· Ensuring that the office space is kept presentable and that there is adequate storage for each team and that they adhere to guidelines around the storing of their materials while not in use e.g. lego, promotional materials, sensory equipment

Experience, Education, Skills, and Abilities Required

· Experience in managing and prioritising an administrative workload

· Ability to adapt communication and engage with a diverse community of people

· Excellent time management and organisational skills

· Knowledge of autism

· Strong computer literacy

· In possession of a full clean driver’s licence

Contract Duration:

This is a fixed term contract for one-year, with the potential to be extended subject to funding.

Salary and Benefits:

AsIAm will offer a salary and benefits commensurate with the AsIAm pay scale and experience.

In addition to annual leave, the company traditionally offers additional paid time off (company days) including a Christmas office closure period. This is sanctioned annually at the discretion of management.

Working Hours:

The role is typically Monday to Friday, 9:00 am to 5:00 pm with some flexibility around start and finish times.

The role holder is required to have a degree of flexibility regarding working hours with the expectation of some evening and weekend work.

Location:

The role is based in AsIAm HQ in Blackrock, Co. Dublin. There is limited opportunity for remote work as the role is integral to the day-to-day functioning of the organisation

The Role:

The Brand and Communication Manager will report to the CEO and work closely with the Fundraising Manager. They will lead a dedicated team within the organisation focused on direct engagement and collaboration with the autism community across Ireland. They will be responsible for the management of our communication channels, the development of digital content and innovative projects which raise funds and support the autism community to engage with our work.

Key Responsibilities:

· Oversee the management of AsIAm online resources including our website, social media channels, digital publications and resources

· Set the direction for our digital presence, clearly communicating expectations, and regularly reviewing goals, outputs, and activities and providing coaching/mentoring as necessary

· Lead on the development of the organisation’s brand guidelines and brand development

· Support the creation of communication campaigns and promotional materials

· Supporting AsIAm Team members to communicate and promote their programmes, initiatives and impact

· Develop strategies to measure and communicate the impact of the organisation

· Support the CEO in crafting and implementing the organisation’s communication strategy

· Support and supervise individual team members, who are working on projects under their management, ensuring that regular and consistent supervisions and appraisals are provided, in line with organisational policies and procedures

· Work closely with the Director of Corporate Affairs to ensure high standards of corporate governance with legal, regulatory and organisational policies

· Proactively promote a culture of safety, stability, accountability, transparency, and prudent risk management

Key Requirements:

Experience, Education, Skills, and Abilities Required

· Degree level qualification in Digital Marketing, Design Thinking, Graphic Design or other relevant qualification.

· 3-5 years-experience in a managerial role within the same sector

· Previous experience building a brand and managing multiple social media platforms

· Excellent interpersonal skills

· Skilled in the use of Canva, Adobe Design etc.

· Experience in Universal Design

· Extensive experience in designing, shooting and editing stills or film for digital content

· Willingness to travel to locations around Ireland to shoot content

· Great communication skills and excellent attention to detail

· Previous work experience in the Autism or Disability sector is an advantage but not essential
