AsIAm One Stop Shop – Privacy Notice

Effective Date: 24th February 2025

1. Introduction

AsIAm is committed to protecting your privacy. We look after your personal data in a way that follows data protection laws, including General Data Protection Regulation (GDPR). This Privacy Notice explains how we process your personal data when you engage with AsIAm’s One Stop Shop activities and services.

Processing’ means anything that we do with your personal data including. This includes collecting it, storing it, using it, sharing it, or even deleting it.

2. Purpose of Personal Data Processing

Processing’ means doing anything with someone’s personal information, like collecting it, storing it, using it, sharing it, or even deleting it.

For AsIAm’s One Stop Shop services, personal data is processed to:
• Inform the development of AsIAm One Stop Shops for the Autistic community
• Deliver AsIAm One Stop Shop services for individuals
• Monitor the programme to ensure quality service delivery
• Demonstrate the positive impact of the service

3. What Personal Data we Process

The following categories of personal data may be processed depending on your engagement with AsIAm’s One Stop Shop services:
• Identity data: full name/ date of birth
• Contact data: email/ phone number/ address
• If the service user is under 18, name and contact details of parent/ guardian
• Communications data: Your preferences for what we contact you about
• Other personal information you choose to provide may be recorded to support the delivery of advice/ support.
• Your opinions may be recorded through feedback forms.

Special category data may also be processed and is considered more sensitive and requiring additional protection. This may include:
• Inferred health data: Many of AsIAm’s services and activities are intended for Autistic individuals. If others know that you are accessing these services/ activities it may be possible to infer that you have an Autism diagnosis. In these circumstances all of your personal data is classed as ‘special category.’
• Health data: This may include proof of Autism diagnosis, support needs, or other health information relevant to the delivery of the service.
• Other: Ethnic background, or sexual orientation may be recorded (if you choose to disclose this information and it is relevant to the delivery of the service).

4. How We Use Your Personal Data

The information you provide may be used for the following purposes:
•          To support your participation in events/ activities relating to One Stop Shop
•          To provide you with information about any services or events you register for.
•          To deliver One Stop Shop advice/ supports arising from your consultation.
•          To provide you with updates on the One Stop Shop (if you opt-in)
•          To add you the AsIAm mailing list (if you opt-in).
•          To support monitoring and reporting purposes.

5. Legal Basis for Processing Data

We process your personal data based on the following legal grounds:
Article 6(1)(f) Legitimate Interest: AsIAm has a legitimate interest in processing your data for the purpose of delivering AsIAm supports and services.
Article 6(1)(a):Consent: For additional purposes such as mailing-lists, additional consent will be obtained.
Article 9(2)(a): Explicit Consent: For special category data, including inferred health data.

6. Data Protection and Security

AsIAm implements appropriate technical and organizational measures to protect your personal data from unauthorized access, alteration, disclosure, or destruction. Personally identifiable information is stored securely and is only accessible to authorized personnel on a need-to-know basis.

7. Data Sharing and Anonymization

• Your personal data will only be shared with people within AsIAm who require this information for the purposes listed above.
• Your data will not be shared with any third parties for marketing or commercial purposes.
• AsIAm may share aggregated (combined), non-identifiable data with the HSE, or other third parties for advocacy and reporting purposes. In these cases – your information will be anonymous.

8. Retention of Data

We will retain your personal information only for as long as it is required. The period of retention will vary depending on your engagement. If you provide contact details for newsletters, we will retain this information until you opt out.

9. Your Rights

Under GDPR, you have the right to:

Access your personal data.
Rectify inaccuracies in your personal data.
Withdraw consent at any time (which will not affect prior lawful processing).
Request deletion of your data, subject to legal obligations.
Restrict processing in certain circumstances.
Lodge a complaint with the Irish Data Protection Commission if you believe your data is being misused.
